How are you organizing your event information? Do you have an event book? Do you have folders on your computer? Do you have a event planner?
There are so many ways to organize all the different contracts and information. You just need to find the way that works best for you.
My recommendation is to make a binder that you can carry through all of your planning. There has been a number of times where I am working with a bride or event staff, and they do not have all they need to do a floor plan or even a walk through. A binder would hold all that information for you. Even if you are just talking with the photographer, they might ask questions about the days schedule or different vendors. To make a successful event, all vendors need to know what is going on even if they have nothing to do with it.
Even though I am far from getting married, I have started my wedding book. Yes, I am one of those that have been planning my future wedding for a while now. Below is some pictures to show how I have organized my book and a check list.
My Wedding Binder:
Need:
- Dividers
- Sheet Protectors
- Binder
- Three Hole Punch
- Business Card Holder
- Pencil/ Pen Pouch
- Notebook Paper
I made a section for each vendor that I would be working with. I also did a section for the engagement, ceremony, reception, and honeymoon. I took the page protectors and put my inspirations and vendor fliers inside them. I organized it by each section. It is a good idea to have different samples or inspirations that you like to show to your vendors to give them ideas of what you are looking for. I got my inspirations from bridal magazines and Pinterest. I have also gotten inspiration from different wedding websites like weddingwire.com and brides.com. You can find inspiration anywhere! I used the business card holder to put all the different business cards that I got from different vendors.
When I was in high school, I bought a wedding binder from a bookstore. I loved it because it had so many worksheets and helpful information. As I kept adding more information, it was not as organized as I would like it. I took the pages that I really wanted and turned it into the wedding binder that worked for me. If you already have a wedding binder, make sure that it is organized the way that you want it. Don't be afraid to make it your own. If you do not have one yet, you do not have to go buy one from the bookstore. You can make one with the list that I listed above or in your own way.
When I am looking through wedding magazines, I always highlight and cut one informative articles. I like to keep them in my wedding book so that I can look back at them. It comes in handy when you are thinking about hiring a vendor or needing budget friendly ideas.
Whenever I think of a wedding book, I always think of the movie "My Big Fat Greek Wedding." I think of it because of the scene when Toula pulls out her wedding book that her cousin Nikki made for her and showed it to the future In-Laws. I have to say it is definitely a one of a kind.
